Camp Highlight Video

1. Payment Terms

• Full payment is required within 24 hours of the invoice being issued.
• Overdue invoices will incur a late fee of $10 per week.
• If payment remains outstanding after reasonable contact attempts, the invoice may be referred to a debt recovery service.
• The final camp highlight reel will not be delivered until all outstanding fees have been paid in full.

2. Booking & Deposits

• A deposit may be required to secure filming across the nominated camp or seminar dates.
• Deposits are non-refundable and will be deducted from the final invoice total.
• Bookings are subject to availability, camp access, and approval from the camp, seminar, venue, or organiser where required.

3. Child Media Consent & Usage Rights

• By submitting a booking, the parent or guardian confirms they have authority to approve filming of the named child during the camp or seminar.
• The parent or guardian grants permission for the child to be filmed as part of their camp highlight reel.
• All photo and video content remains the property of Trianglepixel until full payment is received.
• Once payment has been made in full, the client is granted a personal-use licence to download, post, and share the final highlight reel.
• If an invoice becomes overdue, all usage rights are immediately suspended until payment is completed.
• Commercial use, including advertising, sponsorships, brand promotions, or paid partnerships, requires prior written approval.

4. Media Delivery

• The booked package includes one edited cinematic camp highlight reel of approximately 60 seconds.
• The final reel will be delivered digitally via a secure download link (Google Drive, Dropbox, Pixieset, or similar platform).
• Delivery is considered complete once the download link has been provided.
• Accessing or downloading the files confirms receipt.
• Raw footage is not included unless agreed in writing before the booking.

5. Refunds, Cancellations & Camp Changes

• No refunds will be issued once media has been delivered.
• Payment remains due once filming and/or editing for the booked camp highlight reel has commenced.
• Coverage will be provided as booked, subject to camp schedules, access, child participation, venue rules, and conditions across the camp or seminar days.
• If the client cancels after confirming the booking, any deposit or booking fee is non-refundable.
• If a camp session is postponed, moved, shortened, cancelled, or changed by the organiser, Trianglepixel will make reasonable efforts to adapt coverage but cannot guarantee replacement footage.

6. Camp & Seminar Responsibilities

• The client is responsible for providing accurate camp or seminar details, including dates, location, schedule information, child name, and any relevant group or session details.
• If the camp runs over multiple days, coverage will be planned around the information provided and the access available to Trianglepixel.
• If the client cannot be contacted, camp details are incomplete, or the child cannot be located during scheduled coverage, missed footage will not be refunded.
• As camp schedules may change across multiple days, the client is responsible for providing updates where necessary.
• The client is responsible for advising Trianglepixel of any important filming restrictions, privacy concerns, or medical/access considerations before filming begins.

7. Editing & Turnaround

• Standard cinematic editing is included in the camp highlight reel package.
• The final edit is created from the best available moments captured during the camp or seminar and may include training, drills, instruction, group activities, candid moments, and atmosphere footage.
• Additional editing requests or revisions may incur extra charges.
• Turnaround times may vary depending on camp duration, footage volume, and workload.

8. Filming Conditions, Group Footage & Liability

• Trianglepixel is not responsible for venue restrictions, organiser restrictions, camp delays, weather, poor lighting conditions, schedule changes, limited access, or circumstances outside of its control.
• Camp and seminar environments often include other participants, coaches, staff, and spectators. Reasonable efforts will be made to focus on the booked child, but other people may appear in the background or as part of group activity footage.
• Trianglepixel cannot guarantee that every session, activity, technique, or moment from a multi-day camp or seminar will be filmed or included in the final reel.
• In the event of equipment failure, illness, or emergency preventing coverage, a refund or partial refund may be offered at discretion.

9. Agreement

By submitting a booking or proceeding with a service, the client confirms that they:

• Have read and understood these Terms & Conditions.
• Agree to all payment, media consent, copyright, delivery, and camp coverage policies.
• Acknowledge that this forms a binding agreement between both parties.
